Board Meeting Preparation and Management
The Cedar Management Group community managers prepare, attend, and participate in all regularly scheduled Board of Directors meetings and annual election meetings.
During our board member orientations, community managers partner with board members to discuss changes in procedure and protocol. Committee meetings can be attended, and minutes can be created per board request. Director reports are provided in advance to the board meeting. This leaves time for communication, addressing additional information that may be needed to facilitate timely decisions.
Annual Calendars
Every community we manage has an annual calendar created for their repeating annual events and yearly scheduled business requirements as a corporation. We supply board members with background and information to support the need to take action, minimizing last minute decisions. The timing of community events or scheduling of repeating board member decisions can be listed on the annual calendar making it an invaluable tool to stay on track and anticipate tasks before decisions are needed.
Preferred Vendor Management
Cedar Management Group provides clients with a list of proven, licensed, bonded and properly insured vendors who are comfortable with our response expectations and reporting standards for seamless communication and positive association maintenance results. Our Vendor Coordinator monitors licensing and insurance securing current proof of both, for reference. When requested by board members, we secure proposals from qualified vendors using a detailed scope of work.
We review the proposals for discrepancies, requesting proposals from additional vendors if necessary. During scheduled property inspections, vendor performance is monitored. Board members are kept informed as to vendor performance through property inspection and work order reporting.
Emergency After Hours Service
The association’s community manager is available 24/7 to assist homeowners with after-hour concerns regarding the association. We choose not to manage communities using a commonly-implemented management rotation on-call system, as we understand the best person to assist your homeowners is the manager who is most familiar with your association . Cedar Management Group employs an emergency after hours service to assist homeowners on weekends and after hours.
When a homeowner calls Cedar Management Group and the office is closed, contact information is provided for the emergency service. The service has the association profile so previously chosen preferred vendors are used for all normal emergency scenarios. In the event of a special emergency, the service would call the community manager, who would also provide support to homeowners. If for some reason the community manager were not accessible by this service, the Senior Manager would then be contacted for assistance.

Community Websites
Cedar Management Group offers independent website development and services to associations with the capability to personalize every website to each community’s need. Our website flexibility allows each community to choose a unique face on-line for their community while posting their preferred association information such as Rules and Regulations, CC&R’s, Vehicle Parking Guidelines, Architectural Guidelines and Applications. Board meeting agendas, approved board meeting minutes and newsletters. Keep in mind you are not offered just one option at Cedar Management Group for website service. We allow you to decide on what works best for your community and homeowners.

Administrative Services
Cedar Management Group is prepared to execute all aspects of community management. Our size and infrastructure allow us to remain flexible in adapting administrative services for all types of associations.
Our Community Support Staff work closely with our community managers to plan, direct, and coordinate as directed by the Board of Directors. We provide administrative support for covenant compliance, architectural guideline support, parking control, event planning, clubhouse access, and guard service coordination. Our Community Support Staff completes all correspondence directed by the Board of Directors with action initiated by the community manager. This streamlined workflow process enables our team to respond quickly and handle your requests in a timely manner.
Cedar will gladly distribute meeting notices and membership mailings in compliance with each association’s governing documents. Digital records are maintained for all communities under our management, via our proprietary software. This ensures accuracy and consistency in everything we do. Our dedicated team can also coordinate with CPAs to complete state and federal tax filings.
